A few useful starting points for understanding your systems and deciding what needs attention.

A quick account-security check

  1. Know who has access to your email, important software, and administrator accounts.
  2. Use unique passwords and enable multi-factor authentication wherever your services support it.
  3. Review former employee and vendor access. Remove access that is no longer needed.
  4. Keep devices and software updated, with a plan for equipment that no longer receives security updates.
  5. Make sure your team knows how to report an unexpected login or suspicious message.

Could you recover your business files?

  1. List the files and systems you cannot operate without.
  2. Confirm what is backed up, where it is stored, and who checks that backups completed.
  3. Ask how long recovery would take. A backup is not the same as a tested recovery plan.
  4. Keep recovery instructions and the right contact information accessible during an outage.
  5. Arrange a controlled restore test before you need one in an emergency.

What to ask an IT partner

  1. What is included in ongoing support, and what is separate project work?
  2. How should employees request help, and what are the agreed support hours?
  3. Who owns the administrator accounts, documentation, and access to your systems?
  4. How are security, backups, and aging equipment reviewed?
  5. How will changes, costs, and next steps be communicated?
